For EHS and procurement

Order PPE across every site, and keep the approval trail.

Workers order only the equipment assigned to them. Budgets and a regional approval path sit in front of the supplier. Each company is a separate organisation, including the one you open on a free trial.

14 days, no card. Then the organisation goes read-only until you upgrade.

What the portal actually does

These are the workflows in the product today: multi-country ordering, approvals, budgets, statuses, languages, mail, and the roles a company admin assigns.

Only the items a person is allowed to order

An empty access list means an empty catalogue. Catalogue admins grant items by person, and a workbook can do the same in bulk.

Region, country, then site

Locations, catalogues, purchase-request patterns, and approval steps belong to the company. Procurement in one country does not export another.

Approvals that follow the region

The line manager is first. A region can add procurement, and EHS after that. A rejection needs a reason. Delegates can cover a date range.

Budgets that can stop a cart

Rules can watch cost, quantity, or both, on a calendar or rolling period. Every matching rule has to pass. An override is held for the line manager, then procurement.

A status trail the worker can see

Submitted, approved, ordered, dispatched, partially dispatched, delayed, received, or cancelled. Notes and a tracking number travel with the email.

Suppliers see their own lines

A supplier login is tied to one vendor. Export is for approved orders that procurement has released. Other vendors’ lines and budget rules stay hidden.

Mail in the person’s language

Stage emails go out from no-reply@ppeordering.com. The link, order number, purchase request, status, and note are in the message. Reminders run once a day.

Roles, including an authenticator

End user, line manager, procurement, catalogue admin, supplier, reporting, and company admin. The company chooses which roles must use an authenticator. The platform super admin uses one too.

How an order moves

  1. 01

    Set the organisation up

The company admin adds regions, countries, sites, currencies, and the people who order, approve, and buy. Catalogues can be typed in or loaded from a workbook.

  2. 02

    A worker checks out

They pick from the items assigned to them, enter a purchase request that matches the region’s pattern, and give a delivery address. The budget check runs before the order exists.

  3. 03

    The region approves

The line manager decides first. Later steps, if the region has them, follow. Over-budget requests sit on hold until someone with authority accepts or declines the override.

  4. 04

Procurement hands it to the supplier

An export workbook consolidates released lines. Procurement can mark the batch ordered. The supplier records dispatch, a delay, or a tracking number, and the worker is told.

Roles, with a hard edge for admins

A person can hold more than one role. Company admin, catalogue admin, and procurement use an authenticator unless the company turns that off. The platform super admin always can be required to use one, and cannot browse a company without a grant.

  • End user

Orders assigned PPE and follows their own orders.

  • Line manager

Approves the team, including budget overrides, and can see team spend.

  • Procurement officer

Works the in-scope queue, exports, and moves status through to ordered.

  • Catalogue admin

Maintains items, access, and review dates inside their scope.

  • Supplier

Sees released lines for one vendor and records fulfilment.

  • Company admin

Runs the organisation: people, security, locations, and roles.

  • Reporting viewer

Reads access review and spend inside scope.

  • Platform super admin

Opens a company only with a time-limited grant, and signs in with an authenticator.

Questions

What is included in the free trial?

A new company gets its own organisation for 14 days, with the same ordering, approval, budget, and email tools as a live company. No card is taken. The person who registers is the company admin.

Will we see another company’s data, or the demonstration catalogues?

No. Company rows are isolated in the database. A trial organisation starts empty, apart from a head-office region, the country you choose, and one site, so you can add your own catalogues and people.

What happens when the trial ends?

The organisation becomes read-only. People can still sign in and open records. Changes, including new orders, are refused until the organisation is upgraded. Write to us and we will switch the plan on — payment collection is not in the product yet.

Are the prices on this site being charged?

No. The amounts are placeholders Peter can edit in one config file. The portal does not collect payment. A future billing connection can sit on the plan id already stored for each company.

Where does the application run?

The app is hosted on Vercel and the database is Postgres in the Mumbai region. Mail is sent through Resend from no-reply@ppeordering.com when that domain is verified.

Does this replace an ERP or a supplier’s own system?

No. There is no ERP connector and no payment or stock module. Procurement exports a workbook for the supplier, and the supplier updates status inside the portal.

Which languages are in the portal?

Fourteen, listed on this page. English is the reviewed copy. The others are loaded and fall back to English when a phrase is missing. Arabic uses a right-to-left layout. Each person, and each email, uses that person’s language.
